A structured cleaning schedule is the foundation of a well-maintained office. Without a documented checklist, tasks are missed, standards drift, and the cumulative effect of neglected maintenance becomes visible — and costly to remediate. This checklist is designed for Hong Kong commercial offices and reflects the cleaning frequency requirements of Grade A office buildings, co-working spaces, and government premises.
Daily Cleaning Tasks
The following tasks should be completed every working day, typically before staff arrive or during low-occupancy periods.
Workstations and Open-Plan Areas: Wipe all horizontal surfaces (desks, shelves, filing cabinets) with a damp microfibre cloth. Empty all waste bins and replace bin liners. Vacuum or sweep all floor areas. Spot-clean partition screens and glass panels. Remove any items left in communal areas.
Kitchens and Pantries: Clean all countertops and sink areas. Wipe exterior surfaces of appliances (microwave, coffee machine, refrigerator). Empty and reline waste and recycling bins. Mop floor. Replenish consumables (washing-up liquid, paper towels, hand soap).
Washrooms: Clean and disinfect all toilet bowls, seats, and cisterns. Clean and disinfect all washbasins and taps. Wipe mirrors. Mop floors with disinfectant solution. Replenish soap, paper towels, and toilet paper. Empty sanitary bins and replace liners.
Reception and Lobby: Vacuum or mop entrance floor. Wipe reception desk and any seating. Clean glass entrance doors (both sides). Remove any litter or misplaced items.
Meeting Rooms: Wipe table surfaces and chairs. Vacuum floor. Empty waste bins. Wipe whiteboard if used. Ensure AV equipment surfaces are dust-free.
Weekly Cleaning Tasks
All Areas: Damp-wipe all skirting boards and door frames. Clean light switches and door handles with disinfectant. Dust all horizontal surfaces above desk height (shelving, top of partitions, windowsills). Vacuum upholstered seating.
Kitchens: Clean interior of microwave. Wipe down all appliance interiors accessible without tools. Clean refrigerator exterior including door seals.
Washrooms: Descale taps, showerheads (if applicable), and toilet fittings. Clean tile grout with appropriate cleaner. Inspect and clean extractor fan covers.
Glass and Partitions: Clean all internal glass partitions and office doors (both sides). Polish any stainless steel fixtures.
Monthly Cleaning Tasks
All Areas: Dust all ceiling-mounted fixtures, light fittings, and sprinkler heads. Clean air conditioning unit covers and accessible vents. Wipe all wall surfaces for marks and stains. Clean behind and beneath all moveable furniture. Inspect and clean all waste bin interiors.
Floors: Machine scrub hard floor areas (stone, vinyl, timber). Apply floor polish or sealant to hard floors as required. Spot-treat carpet stains.
Kitchens: Deep clean refrigerator interior. Descale coffee machine and kettle. Clean oven or microwave interior thoroughly.
Quarterly Cleaning Tasks
Carpet: Encapsulation cleaning of all carpeted areas. This low-moisture method allows rapid return to use and removes embedded soiling not addressed by daily vacuuming.
HVAC: Clean and disinfect all fan coil unit (FCU) covers and accessible coil surfaces. Replace or clean FCU filters. Inspect ductwork for visible contamination.
Windows: Internal window cleaning (external window cleaning frequency depends on building management schedule and facade type).
Annual Cleaning Tasks
Carpet: Hot water extraction (steam cleaning) of all carpeted areas. This deep-extraction method removes allergens, bacteria, and deeply embedded soiling that encapsulation cleaning cannot address.
HVAC: Full ductwork inspection and cleaning by specialist HVAC hygiene contractor. Chemical treatment of coils if biological contamination is identified. This is required to maintain compliance with the EPD's Indoor Air Quality Certification Scheme.
Hard Floors: Strip and re-seal all hard floor areas (marble, granite, vinyl). This removes accumulated wax and polish build-up and restores the floor's protective coating.
Facade and Windows: External facade and window cleaning (frequency varies by building height, facade type, and proximity to pollution sources — typically annually for mid-rise commercial buildings in Hong Kong's urban core).
Deep Clean: Comprehensive annual deep clean covering all areas, including above-ceiling void spaces (where accessible), under-floor void spaces (where applicable), and all areas not covered in routine maintenance.
Hong Kong-Specific Considerations
Hong Kong's subtropical climate creates specific cleaning challenges not present in temperate climates. High humidity (typically 70–90% relative humidity from April to September) accelerates mould growth on surfaces that remain damp, making rapid drying after wet cleaning critical. Air conditioning systems running continuously during the summer months accumulate biological contamination on coil surfaces faster than in cooler climates, making quarterly HVAC maintenance (rather than the annual schedule common in temperate climates) the appropriate standard for Hong Kong offices.
Post-typhoon cleaning should be added to the schedule as a non-routine event following any Typhoon Signal 8 or above. This includes inspection and cleaning of all water ingress points, extraction of any standing water, and assessment of mould risk in affected areas.
