An office cleaning brief does not need to be long. It should make the workplace, access conditions and intended scope clear enough for the relevant parties to have a useful first conversation.
Use this as a planning template. The final scope, timing, access arrangements and quotation should be agreed with your building, project team and appointed provider.
Start With the Workplace Context
Record the office location, approximate floor area, occupancy pattern and the spaces that matter most to your team. It can help to note whether the office is occupied, newly fitted out, preparing for a handover, or operating around client-facing meetings.
List the Areas, Not Just the Service Name
Identify the areas to be discussed: workstations, meeting rooms, pantry, washrooms, reception, internal glass, floor finishes, storage areas and any spaces with restricted access. Note the finishes or equipment that need particular care rather than assuming they are part of a general request.
Agree the Working Conditions
Building entry, lift bookings, loading arrangements, access cards, escort requirements, working hours and waste arrangements can all influence how a scope is planned. Confirm these points before comparing proposals.
Ask for a Clear Scope
When reviewing a proposal, look for an understandable description of the areas, tasks, frequency, exclusions and any points that still need confirmation. A shared brief makes it easier to compare options on a like-for-like basis.
